This policy explains how we collect, use, protect, and share information from physicians, candidates, healthcare organisations, referees, referrers, and website visitors in the United States.

Who we are and what this policy covers

Verovian Medical provides physician recruitment, locum support, permanent search support, salary context, referrals, references, and hiring services for the United States. This policy applies to information collected through the Verovian Medical US website, forms, emails, calls, messages, recruiter conversations, and related recruitment systems.

This policy does not make Verovian a healthcare provider, health plan, or clearinghouse. You should not submit patient-identifiable information through our public forms. If information may be subject to HIPAA, facility policy, credentialing policy, or another healthcare privacy rule, it should be shared only through the correct authorised route.

Information we may collect

Physician and candidate information

Name, contact details, specialty, subspecialty, license states, NPI, board status, CV, work history, education, certifications, professional references, compensation expectations, schedule preferences, geography, availability, relocation interest, facilities to avoid, and communication notes.

Credentialing and compliance information

Where appropriate and authorised, we may collect license documents, insurance details, background check status, reference details, health or immunisation documentation, work eligibility, malpractice history, sanctions or exclusions information, and facility onboarding requirements.

Hiring organisation information

Search briefs, vacancy details, compensation ranges, call schedules, facility requirements, hiring contacts, interview feedback, commercial terms, billing details, and communications with Verovian consultants.

Website and communications information

Form submissions, email interactions, message preferences, device and browser information, log data, approximate location inferred from technical data, cookies or similar technologies, and analytics about how the website is used.

Where information comes from

Information may come from you directly, your CV, your registration forms, your communications with Verovian, referrals, references, healthcare organisations, publicly available professional sources, licensing or credentialing sources, background check vendors, job boards, professional networks, or service providers that support our recruitment operations.

If someone refers you, names you as a reference, or provides information about you, we use that information to assess whether follow-up is appropriate. A referral alone does not authorise facility submission or profile sharing.

How we use information

We use information to respond to enquiries, create and update recruitment records, match physicians to suitable roles, support consultant review, coordinate interviews, manage references, support credentialing and onboarding, send role-related communications, deliver salary or market context, operate the website, protect security, comply with legal obligations, and improve our services.

We may also use information to prevent fraud, verify identity or professional status, audit records, manage opt-outs, enforce our terms, handle disputes, and maintain internal records needed for recruitment, compliance, finance, or legal purposes.

How information may be shared

We may share information with healthcare organisations, hiring teams, credentialing teams, background check providers, reference contacts, technology vendors, email or SMS providers, storage and database providers, legal or compliance advisers, and authorities where required by law.

For physician candidates, our standard position is that your CV, profile, or identifying professional details should not be submitted to a facility for a specific role unless you approve that introduction or a separate authorised process applies. We do not sell physician or candidate personal information.

AI-assisted processing and matching

Verovian may use software, automation, and AI-assisted tools to parse CVs or job descriptions, organise notes, identify missing fields, summarise recruiter conversations, support matching, and help consultants prioritise follow-up. These tools are used to support recruitment work and consultant review.

AI-assisted output may be imperfect. Verovian consultants should review important recommendations before profile sharing, client introduction, or material recruitment decisions. You may contact us if you believe your record is inaccurate or missing important context.

Email, SMS, phone, and marketing preferences

We may contact you about an enquiry, registration, referral, reference, salary benchmark request, job opportunity, hiring brief, credentialing step, or related recruitment service. Depending on the context and your choices, communications may happen by email, telephone, SMS, WhatsApp, or another channel you provide.

You may opt out of non-essential marketing communications. Marketing emails should include a way to unsubscribe. SMS opt-out instructions may include replying STOP. Operational messages about an active process may continue where permitted and needed.

Retention, security, and storage

We keep information for as long as reasonably needed for recruitment, candidate relationship management, credentialing, audit, legal, compliance, dispute, and business purposes. Retention periods can vary by record type, legal requirement, facility requirement, and whether there is an active recruitment relationship.

We use administrative, technical, and organisational safeguards designed to protect recruitment information. No website, email system, storage provider, or transmission method is completely secure, so sensitive documents should be sent only through approved secure routes.

Your privacy choices and rights

Depending on where you live and how you interact with us, you may have rights to request access, correction, deletion, restriction, portability, opt-out of certain processing, or information about how your data is used. California and other US state privacy laws may provide additional rights for eligible individuals.

We may need to verify your identity before acting on a request. Some records may be retained where needed for legal, compliance, audit, security, credentialing, dispute, or legitimate recruitment purposes.
